1. Privacy and Security Measures

Rhine Labs takes the following steps to ensure the privacy and security of products entrusted to us for mail-in repair:

  • Secure Receiving and Tracking: All mail-in devices are logged into our secure tracking system upon receipt, with chain-of-custody documentation maintained throughout the repair process.
  • Physical Security: All devices undergoing repair are stored in secure, access-controlled facilities and restricted technician access.
  • Data Access Protocols: Our technicians access customer data only to the minimum extent necessary to diagnose and complete repairs. Functional testing is limited to repair-relevant features only.
  • Confidentiality Training: All repair personnel undergo mandatory training in customer privacy rights, data handling best practices, and Washington state privacy laws.
  • Data Handling Policy: We do not copy, transfer, or retain customer data during the repair process. Upon completion of repair, we do not access or retain any customer information from your device.
  • Secure Disposal: Any removed components containing data storage are securely destroyed or returned to the customer upon request.
  • Secure Return Shipping: Repaired devices are packaged securely and shipped via tracked carriers to ensure safe delivery, signature confirmation for repairs over $500 or at the descression of Rhine Labs.

2. Recommended Customer Data Safeguards

To protect your personal information, Rhine Labs strongly recommends you take the following steps before mailing your device for repair if able:

a) Data Backup and Removal

  • Back up all important data from your device to a secure location (external drive, cloud storage, etc.) before shipping
  • After backing up, choose one of the following options:
    • Option 1 (Recommended): Perform a factory reset on your device to remove all personal data, OR
    • Option 2: Manually delete or wipe backed-up data from the device

Important: Rhine Labs is not responsible for any data loss during shipping or repair. Always maintain a backup of your data.

b) Password Management

  • Share only the passwords or access credentials necessary for us to perform the specific repair
  • Change passwords to temporary credentials before mailing your device
  • Include temporary passwords securely in your repair documentation
  • Change temporary passwords back to secure passwords immediately after your device is returned

c) Account Security

  • Log out of all applications and websites that contain sensitive information before mailing your device, including:
    • Email accounts
    • Banking and financial applications
    • Social media accounts
    • Shopping accounts with stored payment information
    • Cloud storage services
    • Workplace or business applications
    • Any other applications containing personal, confidential, or sensitive data

d) Additional Mail-In Precautions

  • Remove all SIM cards, memory cards, and external storage devices unless they are relevant to the repair issue
  • Disable biometric locks (fingerprint, face recognition) if possible, or provide alternative access methods
  • Document your device’s condition with photos before shipping
  • Use secure packaging to protect your device during transit

3. Your Legal Right to Privacy

a) Privacy Rights Under Washington Law

Your right to privacy is protected under Article I, Section 7 of the Washington State Constitution and Washington state law. These protections include safeguards against:

i) Washington Cybercrimes under Chapter 9A.90 RCW, including:

  • Electronic data theft
  • Electronic data tampering
  • Spoofing
  • Computer trespass

ii) The disclosing of intimate images under RCW 9A.86.010

iii) Criminal impersonation of another under RCW 9A.60.040

iv) Identity crimes under Chapter 9.35 RCW

b) Legal Consequences for Privacy Violations

Violations of your privacy rights may be referred to law enforcement for criminal prosecution. Violators may be held liable for damages, including compensation for mental pain and suffering, that a privacy violation may have caused to your business, person, or reputation.

Rhine Labs takes these legal protections seriously and maintains strict internal policies to ensure compliance with all Washington state privacy laws.


4. Replacement Parts Disclosure

Rhine Labs is an independent repair provider. In the course of mail-in repairs, we may use replacement parts that are used or refurbished, or that are provided by suppliers other than the original manufacturer of your digital electronic product. We strive to use high-quality components that meet or exceed original manufacturer specifications.

Mail-In Repair Process

  1. Before Shipping: Follow all data safeguard recommendations above
  2. Package Securely: Use appropriate protective packaging
  3. Include Documentation: Provide repair instructions, contact information, and any necessary passwords
  4. Track Your Shipment: Use a carrier with tracking and insurance
  5. Upon Receipt: We will inspect and log your device into our system
  6. During Repair: We will contact you if additional authorization is needed
  7. Return Shipping: Your repaired device will be returned via tracked, insured shipping
